Instagram business account DM automation requirements: setup checklist

Check what you need before using Instagram DM automation: professional account, permissions, messages access, safe triggers, and test posts.

Before you build an Instagram DM automation, check the account.

Most "my automation does not work" problems start before the message copy. The account is personal. The wrong person connected it. The message permission was skipped. The post is not eligible. The test came from the same account.

This checklist catches those problems early.

1. Use a professional Instagram account

Meta's Instagram Messaging API is for messages between an Instagram professional account and customers. A professional account means a business or creator account, not a normal personal profile.

If your account is still personal, switch it before choosing an automation tool. Then confirm the owner or admin can connect it.

2. Confirm the right person has access

The person connecting the account should have the permissions needed to manage the Instagram account and messages.

Do not let a contractor connect automation through a personal login that the business cannot access later. If that person leaves, your automation may leave with them.

Keep ownership boring:

  1. business owner or trusted admin connects the account
  2. team members get access inside the tool
  3. passwords are not shared
  4. permissions are reviewed before launch

3. Allow message permissions

When the connection flow asks for messaging access, read it carefully. Skipping message permissions can leave the tool connected but unable to send or receive the messages your workflow needs.

If the automation dashboard says connected but replies do not send, reconnect and confirm the permission screen.

4. Pick the right trigger

Choose the trigger before writing the flow.

Common triggers:

  1. comment on a selected post or reel
  2. comment with a keyword
  3. reply to a story
  4. first DM from a user
  5. follow-to-continue step

Meta documents private replies for sending a message to someone who commented on a professional account's Instagram content. That is different from cold outreach.

Build the flow around the action the user already took.

5. Test with a second account

Do not test from the same Instagram account that owns the automation.

Use a different account:

  1. comment the exact trigger word
  2. wait for the DM
  3. reply once
  4. click the link
  5. check whether the next step fires

If the first test fails, simplify. Use one post, one keyword, and one plain text reply.

6. Keep links and claims safe

Instagram has limits to reduce unwanted direct messages and spam. Keep your first automated message clear and relevant to the comment.

Avoid:

  1. repeated links
  2. aggressive urgency
  3. misleading claims
  4. unrelated offers
  5. asking for sensitive personal data

Ask for only what you need to help the person take the next step.

7. Write down the launch owner

Every active automation needs an owner.

That person checks:

  1. the post is live
  2. the trigger word is correct
  3. the link works
  4. the offer is still valid
  5. replies are being watched
  6. support knows what the campaign is

Automation does not remove ownership. It makes ownership visible.
